WP8 : Management (Leader : TUB)
Objectives
-
This work package has been foreseen comprising all the management and coordination activities. This work package will be carried out along the entire project, in parallel to the research activities, and will ensure the correct coordination, communication and co-operation between the partners and between the consortium and the EC.
Tasks
In order to secure an efficient running of the project, an own workpackage is foreseen for the project management. TUB will be the coordinator of the CYCLER-SUPPORT project and will be in charge of the management activities over the entire project duration. The project management will include, besides others, the following elements :
- main point of contact for the EC project officer
- establishment of a steering committee
- communication with the partners and with the European Commission
- legal, contractual, financial management (main contract, management of consortium agreement, cost statements, supplementary final reports, bank guarantees, audit certificates for each participant, collection of the partners' documents and cost and other statements and forwarding thereof to the Commission, reception of all payments made by the Commission to the consortium and its administration and distribution according to the work plan, the contract and the decisions made by the consortium, final "plan for using and disseminating the knowledge", Initiating reviews of the budget distribution, if necessary, etc.)
- monitoring of the project progress, including milestones, deliverables and technical risks;
- preparation of all relevant reports, reviews, and the 2-month updates
- managing the organisation of the kick-off meeting (Month 0 in Agadir in Morocco), the midterm-meeting (Month 12 in Bari in Italy) and the final meeting (Month 24, Garbès in Tunisia)
- project management meetings are hold 3-4 times per year
- managing additional meetings and workshops, as required by the project progress, but at least every six months, under the responsibility of the WP leaders
- overseeing, auditing and monitoring the gender dimension in the project
The other partners will accomplish management activities via the project steering committee. The project steering committee meets biannually. This committee has overall responsibility for all the functions of the project and any major changes in direction will have to be approved unanimously by this committee. The committee will discuss general management issues of the project and decides by majority vote.

D36 : Meeting minutes.
D37 : Short 2-months reports from the task groups.
D38 : Report on the integration of gender issues in the CYCLER-SUPPORT project.
D39 : Final Report (activity report and management report + Supplementary reports required by any Annex of the contract).
